Job Summary
To assist in the day to day running of the property department. Working as part of a team in managing a growing portfolio of fully maintained facilities inc.: office buildings, healthcare facilities and schools throughout the UK.
To work collaboratively with our FM and service partners in ensuring the smooth management of existing assets and operational handover of schemes under construction, ensuring clients and tenants are consistently happy with service levels.
Main Duties and Key Responsibilities
To assist the Property Management team with the day to day responsibility and management of tenanted properties within our portfolio, duties include:
  • Providing administrative support to the Property Team
  • Work together within the Property Team to improve the management systems already in place.
  • Collate and audit building information for our management systems.
  • Actively participate in our buildings database project.
  • Regular site visits/property inspections for service delivery quality control and tenant’s relationships.
  • Monitoring and reporting of tenant issues.
  • Liaise with our Facility management partners to ensure the service delivery meets the high standards expected.
  • To assist with the management of any third-party lettings and their lease arrangements. Ensuring tenants compliance to lease terms.
  • Be a secondary contact for our clients and tenants, be customer focused and maintain and enhance our high reputation.
  • Assisting with monitoring of variations/works carried out to our buildings.
  • Provide 24 hour/7 days a week duty property management cover on a rota system.
  • Keeping up to date with Company progress and helping where required in upcoming schemes/acquisitions.
  • Other duties may be assigned as the role develops.
Organisational Position
This is a key position within Equity Solutions Property Services Ltd who is responsible for a multi-million pound investment portfolio mainly within LIFT (Local Improvement Finance Trust), PFI (Private Finance Initiative) and similar lease arrangements, as well as other corporate investment opportunities.
Our organisational reputation is paramount and your role is to assist in maintaining this reputation and maintaining excellent relationships with our clients and tenants.
Experience Requirements
  • A minimum of 2 years administrative experience.
  • Relevant experience of property management would be desirable but not essential.
  • Experience in generating reports in a detailed, professional manner.
  • Experience in analysing information and generating practical solutions to problems.
  • Previous experience in a client facing environment where able to demonstrate a client focused attitude.
  • General awareness of H&S legislation and its impact.
  • Good working knowledge of Microsoft Office and excel packages.
